FileWave ROI calculator

Compare your current setup
with FileWave.

Build a business case around additional time saved, costs you can stop paying, and the effort of getting started. Compare FileWave with how you work today, whether that is manual or already managed.

Time back or lower spending?

A switch can lower software or infrastructure spending even if staff hours stay the same. Or it can free your team for other work without lowering the cash budget. We show those outcomes separately.

Check the numbers in a pilot.

Measure the same job using your current process and during a FileWave pilot. Include setup and exceptions, and consider what better use of your existing tools could achieve. Use the difference you can verify, not all the work you do today.

How the calculator works

Today’s hours and costs come from you. Mostly manual setups start with an editable 25% what-if. Both existing-tool setups start at 0% additional time savings. These are transparent starting choices, not measured FileWave results or vendor-specific savings rates. The optional example uses made-up numbers to demonstrate the calculator. FileWave features vary by platform and setup; an estimate is not a promised result.

  • Suggested hours = Today × (1 − additional reduction ÷ 100). If you edit the percentage, it stays yours when you change the current-setup choice; Use starting assumption restores the selected setup’s default. Custom row hours stay unchanged. Editing a suggestion marks that task Custom; it stays unchanged when Today or the percentage changes. Use suggested hours restores automatic calculation for that task. Blank Today values in automatic rows are left out. Custom increases in work stay in the calculation.
  • Year one includes 13 minus the benefit-start month. We assume benefits start at their full rate in that month, rather than gradually building up.
  • Time value is hours saved × IT cost per hour. Avoided cash costs use the same start month. We count a full year of new recurring costs.
  • Total investment is recurring costs + one-time costs + rollout hours × hourly cost. Net value is time value + avoided cash costs − total investment. ROI is net value ÷ total investment × 100; it is undefined when investment is zero.
  • Time-value break-even is the investment not covered by avoided cash costs, divided by hourly cost and active benefit months. It is the net monthly time reduction needed to cover year-one costs, rounded up to the next tenth of an hour. It is not cash payback. If hourly cost is zero and a gap remains, no time threshold can be calculated.
  • The budget result counts avoided cash costs less recurring and one-time cash spending. It excludes the value of both recovered staff time and internal rollout time.
  • Server upkeep is excluded unless you select the move from an on-premises management server to FileWave hosting. Turning this off removes server hours from results and exports; values are kept only in the page if you turn it back on. Neither the percentage nor this choice changes your cost inputs.
  • Economic payback includes setup and recurring costs before benefits start, then assumes steady monthly costs and benefits. Year two has full benefits and recurring costs, without repeating one-time setup.
  • We exclude breach prevention, end-user productivity, downtime, tax, inflation and financing. Currencies label your figures; they do not convert them.

The calculator does not save or submit your inputs. It runs separately from the surrounding page. Downloaded summaries contain your numbers, so check them before sharing.
